Finance Assistant

DRC Uganda is currently looking for a highly qualified and motivated individual to join our dynamic team as Finance Assistant. 

The overall purpose of the role:

The Finance Assistant under the supervision of the Finance Team leader will provide financial support to DRC operations and partners in accordance with DRC financial procedures, donor regulations, and national legislation. The role holder will ensure accurate financial recordkeeping, cash management, payment processing, reporting, and compliance while supporting efficient finance operations. 

Your main duties and responsibilities will be: 

Finance and Accounting 

• Perform daily bookkeeping in accordance with the DRC Finance Handbook. 

• Record financial transactions accurately in DRC Dynamics. 

• Ensure transactions are posted to the correct project, budget line, and ledger accounts. 

• Prepare payment vouchers, receipt vouchers, journal vouchers, and supporting documentation. 

• Verify that all payments are supported by complete and approved documentation before processing. 

• Maintain proper filing (electronic and physical) of financial records, including vouchers, contracts, tender documents, bank documents, and supporting schedules. 

• Support month-end and year-end financial closing activities. 

• Maintain routine financial records and follow established work plans. 

Cash and Bank Management 

• Manage petty cash according to DRC financial procedures. 

• Process petty cash replenishments. 

• Conduct daily and monthly cash counts and prepare cash count reports. 

• Safeguard cash held in the office safe. 

• Handle cash receipts and cash disbursements. 

• Manage cash advances and ensure timely settlement in accordance with DRC policies. 

• Process approved bank transfers and maintain proper documentation. 

• Liaise with banks on routine banking activities. 

• Monitor cash balances and support cash flow management. 

Payment Processing 

• Process approved payments accurately and on time. 

• Ensure supplier, staff, statutory, and partner payments comply with DRC procedures. 

• Support salary payment processing where applicable. 

• Assist in remitting taxes, pension, and other statutory obligations. 

• Ensure timely payment of operational expenses such as utilities when applicable. 

Reporting 

• Prepare monthly cash count reports. 

• Support preparation of financial reports. 

• Assist in collecting, reviewing, correcting, and filing partners' financial reports. 

• Submit assigned financial progress and status reports. 

• Support reconciliation of cash, bank, and ledger balances. 

Compliance and Documentation 

• Ensure compliance with DRC financial policies, donor regulations, and local legislation. 

• Maintain complete audit trials for all financial transactions. 

• Ensure supporting documents are properly archived and readily available for audits. 

• Follow internal controls and safeguard organizational assets. 

About you 

To be successful in this role, you must have at least 2 years' work experience in financial management in an international NGO or other agencies. Moreover, we also expect the following.

Required 

• Bachelor’s degree in Accounting, Finance, Business Management or related field. 

• Proven ability in the implementation of large-scale programs. 

• High integrity, pro-active, stable, robust character and a good team-player 

• Highly motivated, results-oriented, and with well-developed problem-solving skills. 

• Ability to cope with heavy workloads and to work under pressure to meet tight deadlines. 

• Excellent communication skills

• Excellent analytical and negotiation skills. 

• Proven commitment to accountability practices. 

• Proven ability to prioritize tasks, meet deadlines, and work with limited supervision 

• Knowledge of computers: word processing, database management packages. 

Desirable 

• Knowledge of local languages widely spoken in West Nile Uganda.
