Finance Officer - Kyiv

Who are we?
DanChurchAid (DCA) is a Danish humanitarian, non-governmental and non-profit organisation that has been operating in Ukraine since 2022. In Ukraine, DCA has a joint country programme with Norwegian Church Aid (NCA), forming the Joint Country Program Ukraine (JCPUA) which focuses on various humanitarian activities, including Humanitarian Mine Action, WASH, Livelihoods, Group Cash Transfers and Protection.
POSITION OBJECTIVES
The Finance Officer provides support for the implementation of DCA programs. Reports to the Finance Coordinator, collaborates with the Procurement & Logistics, Human Resources, Administration and programme staff to ensure the timely completion of financial tasks and provide the necessary support to other teams in the area of responsibility.

Regardless of the content of this job description the employee is expected to participate in any task necessary for the organization always delegated by the manager.

RESPONSEBILITIES

• Prepare Bank and Cash voucher payments;
• Prepare the request for payment to be transferred to the bank account;
• Ensure to update Expense Journals in Maconomy and Cashbooks in Excel on a daily basis to reflect the actual status of existing cash count and bank balance in all currencies;
• Submit Bank statements and signed Cash Counts and Cash Books to Finance Coordinator before the 5th of each calendar month;
• Ensure usage of relevant project and task numbers when cost booking takes place;
• Ensure month end accounting is carried out, including cash counts and bank reconciliation, in a timely manner;
• Validate and sign Purchase Requisitions and Payment Vouchers from Finance side within the approval thresholds defined by the DCA authorization matrix;
• Ensure that the cost description in the journals and cashbook and the quality of the journals and cashbook overall meet the DCA internal guidelines;
• Ensure proper filing system for financial documents;
• Ensure accounting entries are made in line with DCA internal guidelines and Ukrainian legislation accurately and timely by reviewing and approving journals before their postings;
• Ensure that scanned vouchers are saved in Teams on a monthly basis;
• Review documents and ensure costs are coded to correct budget codes and ensure costs will be incurred in line with budget available;
• In coordination with Programme team, provide inputs for the monthly payment forecast and funds request from HQ;
• Check log sheets and fuel-calculation forms provided by Supply Chain unit, provide fuel advances and fuel reimbursement;
• Actively take part in harmonization of operational work: sharing ideas, creating tools, updating guidance etc.;
• Provide other finance support in office if needed;
• Provide inputs for budget monitoring and forecasting – consolidate information on budget spending required by the Senior Finance Officer / Finance Coordinator to prepare forecast;
• Ensure support costs are allocated (fuel, salaries, rent etc.) based on accountable cost drivers backed with relevant supporting documents.

REQUIREMENTS:

• Bachelor’s Degree with at least 2 years of relevant work experience;
• Working knowledge of ERP systems (Maconomy or equivalent) and good proficiency in Excel;
• Good written and spoken English; fluent Ukrainian;
• Good communication skills (verbal & written);
• Excellent organization skills, attention to detail, and ability to work with minimum supervision.
