Freight Forwarder (Projects Air & Ocean)

Job Function/Scope
Primary : Provide solutions for all freight activities through collaboration with network partners. Prepare quotes and invoices always maintaining files and the TMS to ensure real time accuracy and accountability.
Coordinate with the commercial and operational teams (Marine, Customs & Logistics etc) daily to maintain live updates, to key stakeholders daily with a hybrid approach to create synergies and optimize efficiencies.
Demonstrate critical thinking with an eye for detail. Identify and create freight options, solutions and ensure compliance.
Team collaboration to prioritize, assign and share workload to optimize KPI’s as necessary. Optimize time (DSO) to invoice all jobs, ensure KPI “Invoice in the Period”, daily.
Support AR / AP and reporting functions.

Secondary : To support when needed ALL Team members as necessary or as instructed by Management.

Key responsibilities and tasks

• Understand scope, needs, requirements and challenges. Provide options and recommend solutions based on critical factors (Time and Costs etc).
• Maintaining knowledge of relevant laws, freight compliance, terms and regulations for safe transport of cargo including those related to customs, duties and taxes.
• Identify and notify immediately to management / team Lead / client of any potential risk that can impact shipments i.e. strikes, lack of resources, scope creep that can lead to costs overruns, delays or risk safety.
• Support rate negotiation, RFQ’s, tenders for transportation costs, and insurance matters.
• Seek compliant suppliers, onboarding SRM / CRM process.
• Prepare and issue all relevant documentation, shipment instructions & pre-alerts where applicable.
• Ensure ALL freight is Insured, manage any OS&D process.
• Prepare, green light check (Import/Export) and verifying documentation, not limited to bills of ladings, invoices, commercial invoices, packing lists etc, foraccuracy.
• Coordinate with ALL stakeholders not limited to customs, terminal officials, to ensure smooth logistics for safe and on time execution of the job.
• Handling customer queries, inquiries and resolve issues.
• Process ALL vendor charges payments for releases and pass onto relevant Team members where applicable.
• Maintain all files, supports, revenue and cost reservations for all activitieslive. Ensure client approval, for all Operations or any scope creep / ad hoc requests, ensure the approval is filed and added as a backup to billing.
• Reconcile and close job files when approved in TMS (Carlo, Compass & Trackers) issue and submit invoices as per the required process.

KPIs

• Action immediately to all queries, correspondence and communicate with KAM / Management to mitigate risk within 24hrs.
• Update TMS in real time or within 24hrs.
• Issue update to all relevant Stakeholders on Market Trends and Notices within 24hours upon receiving approval from HQ.
• Reducing Days Sales Outstanding (DSO) invoice all files within 24hours.
• Manage DPO (Days Payable Outstanding) to improve credit terms between 30 to 45 days.
• Maintain real time, accurate and complete records filed within 24hrs.
• Follow up Daily for approval of PO and invoice ALL jobs within 24hrs of job completion and receiving all supports.
• Win 80% of quotes when bidding monthly.

• Empowered to “stop the job” if an action is considered unsafe and report to line supervisor.
• Ensure you follow HSSEQ procedures and processes.
• Ensure you understand Mellora and input observations when necessary.

Qualifications

• Proven work experience as a Freight Forwarder, minimum 5 years.
• Knowledge of freight forwarding terms and standards, provide certificates.
• Understanding of principles of accounting and financial processes.
• Effective negotiation and communication skills.
• Proficient in freight software or systems.
• Strong problem-solving skills, ability to create solutions.
• High level of organizational and logistics skills, High school diploma; Degree in logistics or relevant field is a plus.
